We are looking for a motivated and experienced Medical Office Manager to join our practice full time in Chicago IL 60647. We are looking for an office manager to assistant running the office, management of staff, and helping the day-to-day flow within the office. The ideal candidate is friendly, efficient, a great communicator and team player who preferably has experience working in a dental office, dermatology office or med spa. This role is responsible for optimizing current business functions, driving business development, and spearheading expansion efforts, requiring a strong leader with excellent business acumen, financial intelligence, and the ability to foster a high-performance culture.

Duties:
- Oversee daily operations of the practice
- Manage staff schedules and ensure adequate coverage
- Handle patient records and ensure compliance with HIPAA regulations
- Coordinate billing and insurance processing
- Monitor and manage the practice’s budget and financial performance
- Prepare financial reports and analyze practice expenditures
- Take ownership of KPIs
- Implement cost-control measures to enhance profitability
- Recruit, hire, and train office and clinical staff
- Conduct performance evaluations and provide ongoing staff training
- Foster a positive work environment and address staff concerns
- Ensure high levels of patient satisfaction through quality service
- Address patient inquiries and resolve any issues or complaints. Will work with patientcare coordinators
- Implement patient engagement strategies to enhance retention
- Develop and execute marketing plans to attract new patients while working with marketing coordinator
- Build relationships with other healthcare providers and localfitness partners for referrals
- Organize community wellness events and workshops
- Ensure the practice adheres to regulatory requirements and industry standards
- Develop and implement quality assurance programs to enhance patient care
- Prepare for and facilitate audits by insurance companies and regulatory bodies
- Oversee maintenance of the facility and ensure a safe environment for staff and patients
- Manage inventory of medical and office supplies
- Ensure proper equipment maintenance and safety checks
- Implement and maintain practice management software and electronic health records (EHR)
- Stay updated on new technologies that can enhance practice efficiency
- Develop long-term goals and strategies for practice growth
- Analyze industry trends and adapt practices accordingly
- Regularly evaluate operational efficiency and streamline processes
Qualifications:
- Proven Management experience within a healthcare setting preferred (preferably in dermatology, dental office or med spa)
- Bachelor’s degree in healthcare management, Business Administration, or a related field; Master’s degree preferred
- Strong understanding of healthcare regulations, compliance, and reimbursement processes
- Demonstrated ability to manage and lead a diverse team
- Excellent problem-solving and decision-making skills
- Experience with budgeting, financial management, and strategic planning
