Position Summary
The Medical Assistant / Client Care Coordinator hybrid role is a dynamic, client-facing position that bridges clinical support and front office operations. You’ll support both the treatment team and client experience, ensuring clients receive seamless, high-touch service from check-in to checkout, and exceptional care throughout every clinical touchpoint.
This is the perfect role for someone who thrives in a fast-paced, service-oriented environment, enjoys working collaboratively, and is passionate about aesthetics, wellness, and personal development. Full-time, flexible schedule availability is preferred, however, we are willing to consider part-time for the right candidate/s.
Key Responsibilities
Clinical Support (Medical Assistant Duties)
- Assist providers during non-invasive procedures and cosmetic injectable treatments
- Draw blood and administer wellness injections, as needed
- Prepare and restock treatment rooms with necessary supplies
- Sanitize and reset rooms between clients according to OSHA and infection control standards
- Apply topical numbing agents under provider direction
- Take and upload pre- and post-treatment photos to EMR
- Update client medical history and ensure accurate documentation
- Deliver clear, compassionate post-procedure instructions and reiterate providers recommendations of homecare product education that supports the maintenance and results of their treatment
- Monitor inventory and maintain clinical supplies, emergency kits, and sterilization protocols
Client Coordination (Front Desk Duties)
- Greet clients warmly and professionally, setting the tone for their visit
- Manage check-in and check-out processes with accuracy and hospitality
- Schedule appointments, consultations, and follow-ups
- Guide clients through treatment options, loyalty programs (e.g., Alle, Aspire), and promotions
- Respond to phone, text, and email inquiries in a timely, professional manner
- Support front office marketing efforts, including social media content and client communications
- Package and ship online orders; assist with inventory and retail tracking

Required Skills & Qualifications
- Medical Assistant, associate degree or diploma in medical assisting required
- CPR & First Aid certification required
- 1+ year experience in an aesthetic, dermatology, or med-spa environment required
- Strong verbal and written communication skills
- Comfortable using EMR systems, and Microsoft 365 and social media platform experience preferred
- Knowledge of HIPAA, OSHA, and clinical safety protocols
- Ability to lift 15 pounds and stand/walk for extended periods
