The Center for Aesthetics and Plastic Surgery, one of our valued partners, is looking for a Cosmetic Concierge to join their fast-growing, state-of-the-art clinic located in WI. The position will float between their Neenah and Appleton locations.

About The Role
As a Cosmetic Concierge, you will play a pivotal role in driving sales, delivering exceptional customer service, and promoting our range of services offered. Your passion for cosmetics and your ability to connect with customers will be essential in creating memorable patient experiences. This role is a mixture of working at our front desk reception, working and managing the lead pipeline to drive new business, and assisting where opportunity arises in the clinic.
Work Schedule
This is a full-time position requiring up to 32 hours per week. We believe in maintaining a healthy work-life balance while ensuring business needs are met.
Responsibilities
- Demonstrate exemplary professionalism by showing up to work with proper attire, groomed, and representing the aesthetics brand.
- Welcome patients and peers with a smiling positive, warm, and inviting demeanor.
- Answer all incoming cosmetic phone calls.
- Manage CRM pipelines according to the best practices SOP.
- Retention Pipeline (patients who did not book at checkout).
- Add patients to the retention pipeline who do not schedule the recommended services or rebook their next service.
- Responsible for maximizing all providers’ scheduling utilization via cancellation list, calling patients to move them up, working the CRM, etc.
- Call to confirm physician’s cosmetic applicants if they have not yet confirmed in EMA; reiterate arrival time should be done 48-72 hours in advance.
- Manage cancellation list and re-schedule dates for aestheticians and physicians (inform management when cancellation list is longer than 203 weeks).
- Proactively skim all cosmetic schedules to identify scheduling errors.
- Missing deposits ($80-Neurotozin / $250-all other cosmo appt.)
- Overbooked lasers.
- Visia appointment is scheduled if they need f/u photos prior to their appointment.
- Blood draw appointment is scheduled if there is topical or alopecia PRP.
- Look at the next couple days and identify “missed opportunities” through CRM or chart notes and document appointment REASON “didn’t’ schedule thulium,” “did halo in June, recommends another signature service”.
- Overflow cosmetic check-out if main checkout is not available.
- Scan carbon copies into patient chart.
Qualifications
- Knowledge of medical terminology, cosmetic procedures, and skincare products.
- Experience answering phones in a medical office environment.
- Excellent communication, organizational, and management skills.
- Must have proficient computer and typing skills.
