Job Summary
A well-established medical practice and spa in Bradenton is seeking a proactive and experienced Medical Office/Spa Manager to oversee daily operations and ensure the highest level of patient and client care. This role is ideal for a highly organized professional with a passion for leadership, team development, and operational excellence in both clinical and wellness settings.
Job Responsibilities
Administrative Operations
Manage day-to-day operations across both the medical office and spa
Ensure compliance with HIPAA, OSHA, CLIA, and MIPS standards
Maintain efficient use of office systems including EMR (eClinicalWorks), phones, inventory, and scheduling
Coordinate with vendors and manage service agreements
Develop and maintain staff schedules, manage attendance and time-off requests
Human Resources & Team Leadership
Oversee onboarding, training, and development of new hires
Conduct regular performance check-ins and support professional growth
Address team dynamics and resolve conflicts professionally
Ensure strong communication between spa, clinical, and admin departments
Patient & Client Experience
Foster a welcoming and seamless experience for patients and spa clients
Address and resolve any concerns or complaints promptly
Track patient satisfaction and implement service improvements
Financial Oversight
Work with billing and RCM teams to ensure accurate coding and minimize A/R
Process payroll accurately and manage end-of-day financial reconciliation
Monitor inventory and manage supply-related expenses
Support collections, insurance claims follow-ups, and patient balances
Strategic & Marketing Support
Serve as the key liaison between the physician and staff
Lead team meetings and communicate updates clearly
Support marketing efforts including events, in-office promotions, and referral outreach
Track online reviews and manage social media engagement when needed
Qualifications
High school diploma required; degree in business, healthcare administration, or related field preferred
3+ years of experience managing a medical office, spa, or healthcare facility
Strong understanding of EMR systems (eClinicalWorks a plus), billing practices, and compliance regulations
Excellent leadership, communication, and problem-solving skills
Ability to manage staff, resolve issues, and drive operational efficiency
Knowledge of basic financials including payroll, billing, and inventory management
